Upcoming Changes to Service Location Management; Draft Applications to be Deleted

Effective Aug. 25, 2024, providers cannot modify an existing service location address in NCTracks without creating a new service location address

Effective Aug. 25, 2024, providers will no longer be able to modify an existing service location address in NCTracks without creating a new service location address. A new service location address must be created. The Begin Date of the new service location address must represent the dates services are available at that location.  

This will not impact the ability to edit Pay-to or Correspondence addresses.  

As a result of these upcoming changes, all draft provider applications in the NCTracks system will be automatically deleted on Aug. 25, 2024. Please submit all applications saved in the system prior to this date to avoid loss of data.  

Additional reminders regarding Service Location Management:

  • A provider with a single service location may end-date that service location and add a new service location with the same Manage Change Request.
  • It is appropriate to end-date closed service locations and service locations at which an individual provider no longer renders services. Service Location Begin and End dates should represent the dates that services were available.
  • With each service location, the Office Administrator attests “that the address location is a physical site location in which services are coordinated, rendered and medical records are housed.” Be sure of the accuracy of this attestation upon acceptance to avoid possible adverse action.

Maintaining accurate provider data is a contractual requirement of NC Medicaid participating providers and is essential to ensure the integrity of data transmitted to managed care vendors and displayed on provider directories.  Providers are encouraged to review their provider data regularly for accuracy.
