Electronic Visit Verification Capture Updates

Updates on the Sandata mobile app, telephony and fixed visit verification.

Agencies providing NC Medicaid Personal Care Services, Community Alternatives Program for Disabled Adults (CAP/DA), Community Alternatives Program for Children (CAP/C), specific Behavioral Health Services and Home Health Care Services have begun capturing electronic visit verification (EVV) visits through their selected solution. Providers in NC Medicaid Direct and NC Medicaid Managed Care are required to capture EVV visits for all beneficiaries receiving services subject to EVV.

Mobile App Version Updates

The preferred method of EVV visit capture is through a mobile app. For providers using the state’s solution for EVV and aggregation , the mobile app is Sandata Mobile Connect (SMC) Version 2.0. As of July 1, 2024, the original Sandata EVV app, Sandata Mobile, will no longer be available for use and is not be available for download through any app stores effective April 1, 2024.

A mobile app to collect EVV visits ensures accurate collection of data to confirm the start and end times and the location of the visit using GPS coordinates. As visit capture is solely the responsibility of the caregiver/aide, downloading of the mobile app on the beneficiary’s device is not allowed to confirm the start and end times and the location of the visits. Telephony

Telephonic visit verification (TVV) is available as an alternative to the SMC call-in/call-out process. TVV should be used in cases where SMC is not available (e.g., the device has not been charged, connectivity issues, the device has not yet been delivered).

TVV allows employees to call-in/call-out from any phone registered to the beneficiary’s record. Agencies are assigned to toll-free numbers for their account. If you do not know your assigned phone numbers, open a ticket with Sandata using the web form. You may Submit a Request by selecting the drop down labeled General Customer Support Form.

Fixed Visit Verification

The third option to capture visits is through Fixed Visit Verification (FVV). This option should be used when the download of a mobile app or telephony is not available. Provider agencies using the Medicaid’s EVV solution may purchase or lease an FVV device through Sandata.

Providers can purchase FVV devices for a one-time cost of $85 per device or lease the device. Providers who want to purchase the device should complete the North Carolina Provider FVV Purchase Request. To lease an FVV, complete the North Carolina Provider FVV Lease Request. Both forms are available on the NC Medicaid EVV webpage under Provider Resources and Service Codes.
